These Terms and Conditions govern your use of the BRKN Soul Care website (brknsoulcare.org) and all services provided by BRKN Soul Care. By visiting this website, booking a session, or engaging with our ministry in any way, you agree to these terms. Please read them carefully.

1. WHO WE ARE

BRKN Soul Care is a Christ-centered biblical counseling and soul care ministry operating as a sole proprietorship in the state of Missouri. We provide biblical counseling, pastoral care, soul care, support groups, and cohort programs fully online via Zoom. BRKN Soul Care is not a licensed mental health practice. All services are pastoral and biblical in nature. Our founder is a licensed and ordained minister and a certified biblical counselor through the American Association of Christian Counselors (AACC) via Light University.

The information provided is not a substitute for licensed therapy, psychiatry, or medical care. Use of this website does not establish a counseling or client relationship with BRKN Soul Care.

4. BOOKING POLICY

Payment

Payment is due at the time of booking via Square. Sliding scale arrangements are confirmed in writing before the first paid session. No session is held without confirmed payment unless a prior arrangement has been made.

Cancellation and Rescheduling

Please cancel or reschedule at least 24 hours before your session. Your first late cancellation (under 24 hours) is offered as a one-time courtesy. After that, the full session fee applies to all late cancellations.

No-Shows

No-shows are charged the full session fee. Three or more no-shows or repeated late cancellations may result in a conversation about continued booking at the provider’s discretion.

Late Arrivals

Sessions begin and end at their scheduled time regardless of late arrival. The full fee applies. Arriving more than 15 minutes late without notice may be treated as a no-show at the provider’s discretion.

5. REFUND POLICY

Completed individual sessions are non-refundable. Sessions cancelled with 24 or more hours notice are not charged. For support group or cohort programs paid in full, prorated refunds are available before the midpoint of the series, less a 10% administrative fee. No refunds are issued after the midpoint of a group or cohort program. If BRKN Soul Care cancels a session, a full refund or complimentary reschedule will be offered within 30 days. All refunds are processed via Square within 5–7 business days.

6. PRIVACY POLICY

BRKN Soul Care is committed to protecting the privacy of every person who visits this website or engages with our services. We collect only the information necessary to deliver our services and communicate with you effectively.

What We Collect

• Name, email, and phone number submitted through contact forms or intake
• Booking and scheduling information via Setmore
• Payment information processed through Square (card data is not stored directly)
• Session notes and client records maintained securely by the ministry
• Newsletter and email list subscriptions (opt-in only)
• Basic website usage data collected by WordPress
• Social media interactions on our Facebook and LinkedIn

How We Use It

Information is used solely to provide services, communicate with clients, process payments, and maintain required records. We do not sell, rent, or share personal information with third parties for marketing or commercial purposes.

Third-Party Platforms

We use the following platforms, each governed by their own privacy policies:

• WordPress — website hosting and contact forms (WordPress Privacy Policy)
• Setmore — appointment scheduling (Setmore Privacy Policy)
• Square — payment processing (Square Privacy Policy )
• Zoom — video sessions and phone/text communications (Zoom Privacy Policy)
• Facebook — social media page (Facebook Privacy Policy)

Data Retention

Client records are retained for a minimum of seven years following the conclusion of services, or as required by law, then securely destroyed. Newsletter subscribers may unsubscribe at any time.

Your Rights

You have the right to access, correct, or request deletion of your personal information (subject to legal retention requirements). To make a request, contact us at support@brknsoulcare.org. We will respond within a reasonable timeframe.

7. SMS MESSAGING POLICY

BRKN Soul Care may send SMS messages through Zoom Phone or Setmore for appointment reminders, scheduling updates, and ministry communications. By providing your phone number, you consent to receive these messages. You may opt out at any time by replying STOP. Message and data rates may apply. Message frequency may vary. Phone numbers are never shared with third parties for marketing purposes. All SMS communications are subject to each platforms Privacy Policy.

8. Crisis and Safety Protocol

BRKN Soul Care is a biblical counseling and soul care ministry — not a crisis intervention or emergency mental health service. If you are experiencing a mental health emergency, thoughts of suicide or self-harm, or any situation requiring immediate assistance, please contact emergency services (911) or the 988 Suicide & Crisis Lifeline immediately by calling or texting 988. The Crisis Text Line is also available by texting HOME to 741741.

Your safety is always the priority. BRKN Soul Care will always support clients in connecting with the appropriate level of care when needs exceed the scope of biblical counseling and soul care.

9. CHANGES TO THESE TERMS AND GOVERNING LAW

BRKN Soul Care may update these Terms and Conditions at any time. When changes are made, the “Last Updated” date at the top of this page will be revised. Continued use of the website or services following any update constitutes acceptance of the revised terms. These terms are governed by the laws of the State of Missouri. Any disputes arising from these terms or the use of BRKN Soul Care services shall be subject to the jurisdiction of the courts of Missouri.
